 Master the Art of Mapping in Tally Prime: A Complete Guide for Seamless Accounting

In Tally Prime, mapping typically refers to the process of associating specific accounts, ledgers, or vouchers with particular settings, such as tax types, payment methods, or reporting categories. Mapping in Tally helps in organizing transactions, automating calculations, and ensuring that the financial data is correctly categorized. Below is a basic guide on how you can do various types of mappings in Tally Prime:

1. Mapping GST Tax Types (For Taxation):

If you are mapping taxes like GST in Tally Prime, you’ll need to assign the correct tax type to items or ledgers.

Steps:

  1. Go to Gateway of Tally.
  2. Select "GST" from the menu.
  3. Enable GST if you haven’t done it yet.
  4. Once GST is enabled, you can map GST ledgers to the items in your inventory or sales transactions.
    • To map GST to a sales item, go to the relevant inventory item or stock group.
    • Press Alt+Enter to access the item details.
    • In the “Tax” section, select the appropriate GST Tax Ledger from the list.

2. Mapping Ledgers for Accounts:

Mapping specific accounts/ledgers ensures that Tally will correctly classify and apply transactions when they happen.

Steps:

  1. Go to Gateway of Tally.
  2. Select Accounts Info. and then go to Ledgers.
  3. Choose the ledger you want to map or create a new one by pressing Ctrl+N.
  4. Under the ledger's settings, assign it a specific group. For example:
    • If you are creating a Sales ledger, select the "Sales Accounts" group.
    • For a Purchase ledger, select the "Purchase Accounts" group.
  5. To map taxes or other types, you can also choose the appropriate Tax Ledger for sales/purchase transactions.

3. Mapping Inventory Items with Accounts:

When you have inventory items, Tally allows you to map the items with relevant accounts for proper tracking and reporting.

Steps:

  1. Go to Gateway of Tally > Inventory Info. > Stock Items.
  2. Choose the item you want to map or create a new one.
  3. In the item’s details screen, under the Accounting Info, map it to the relevant Stock Group and Ledgers. For instance, map the item to an account like “Sales” for revenue.
  4. Set the applicable GST Tax Ledger for the item.

4. Mapping Payment Methods in Tally (e.g., Bank, Cash, etc.):

When making payments or receipts, you may need to map payment methods to bank accounts or cash accounts.

Steps:

  1. Go to Gateway of Tally > Accounting Vouchers.
  2. Select the type of voucher (e.g., Payment, Receipt, etc.).
  3. In the voucher screen, select the bank or cash account that you are using for the transaction.
  4. You can also choose bank account from the list of ledgers if you’ve already created it.

5. Mapping for Printing/Reports (Customizations):

You may need to map certain fields or formats for printing invoices, bills, or reports in Tally. This mapping generally requires customization in the Report Configuration.

Steps:

  1. Go to Gateway of Tally > F12: Configure.
  2. Select the report type you want to configure (e.g., Invoice printing).
  3. Map the fields and customize the report layout accordingly, specifying which fields (ledgers, taxes, totals, etc.) should appear in the report.

6. Mapping Vouchers (Accounting Entries):

Each accounting entry or voucher can be mapped to the correct account for financial reporting.

Steps:

  1. Go to Gateway of Tally > Accounting Vouchers.
  2. Select the voucher type (e.g., Sales, Purchase, Receipt, etc.).
  3. Enter the details of the transaction.
  4. Map each line item to the appropriate account (e.g., Sales, Purchase, Expense, Revenue) as needed.

7. Tax Mapping for Exporting Data:

You may need to map tax rates for exporting data or for specific tax reporting purposes.

Steps:

  1. Go to Gateway of Tally > F11: Features.
  2. Choose Accounting Features and enable Tax Deducted at Source (TDS) or GST.
  3. In the Tax Configuration, set up the appropriate tax rates and tax categories for mapping.
