1. Prepare Your Excel File

• Before importing, ensure your Excel data is well-organized and in a structure that Tally can understand. For example:
  • Ledgers: Columns should contain the Ledger Name, Group Name, and Opening Balance.
  • Stock Items: Columns should have details like Stock Item Name, Unit of Measurement, and Rate.
  • Vouchers: Columns should contain information like Voucher Type (Sales, Purchase), Date, Ledger Name, and Amount.

2. Convert Excel to CSV Format

Tally Prime supports only CSV files for importing data, so the first step is to convert your Excel sheet to CSV.

How to Convert Excel to CSV:

• Open your Excel file.
• Go to File > Save As.
• In the “Save as Type” dropdown, select CSV (Comma delimited) (*.csv).
• Choose a location on your computer to save the file and click Save.
• Note: Excel will ask if you want to keep the workbook in CSV format. Click Yes.

3. Start Tally Prime

• Open Tally Prime on your computer.

4. Navigate to the Import Data Section

• In the Gateway of Tally, press Alt + I or follow the navigation path:
  • Gateway of Tally > Import Data.
• Tally will open an import window with various options.

5. Choose the Type of Data to Import

You will need to decide what type of data you’re importing:

• Masters: This is for importing details like Ledgers, Stock Items, Groups, etc.
• Vouchers: This is for importing transactions such as Sales, Purchases, Payments, etc.

For example:

• If you are importing Ledgers or Stock Items, select Masters.
• If you are importing Vouchers like payments or sales entries, select Vouchers.

• After selecting the type of data, Tally will prompt you to browse for the file to import.
• Navigate to the location where you saved your CSV file and select it.

7. Map the Fields (Optional)

• Mapping ensures that the data in your CSV file corresponds to the correct fields in Tally. Tally will automatically try to map the fields, but you can manually verify or change them if necessary.
• For example:
  • Map the Ledger Name column in your CSV to the Ledger Name field in Tally.
  • Map the Amount column to the Amount field.

Tip: Double-check that all required columns (like Account Name, Amount, and Date) are mapped correctly. This will ensure no data is missed during import.

8. Check for Errors

• Tally will perform a data validation check to ensure that the file is formatted correctly and that there are no errors. This step is important to avoid data mismatches.
• Common errors you might encounter:
  • Invalid Ledger Name: If the ledger name in your CSV doesn’t exist in Tally, you will need to create it manually or correct the entry.
  • Invalid Voucher Type: Ensure that the voucher type matches a type already defined in Tally (e.g., Sales, Purchase, Payment, Receipt).
• If you encounter any issues, Tally will highlight the row/field with the problem, allowing you to correct it before proceeding.

9. Import the Data

• Once Tally has successfully validated the data, it will allow you to proceed with the import.
• Click on Yes or OK to begin the import process.
• Tally will display a message showing the number of records successfully imported.

10. Review the Imported Data

• After importing, it’s crucial to check if the data has been correctly transferred to Tally.
  • For Ledgers: Go to Gateway of Tally > Accounts Info > Ledgers and check if the ledger names and balances are correct.
  • For Vouchers: Go to Voucher Entry and review if the transactions, amounts, and ledger names are correct.
  • For Stock Items: Navigate to Inventory Info > Stock Items to confirm if stock details are accurate.

• File Format Compatibility: Tally Prime requires CSV format; ensure that your Excel is converted properly before importing.
